A full wedding reception setup is a different kind of project from a single backdrop or a sweetheart corner. Every element in the room has to connect to every other element, even when they are physically separated across a large space.
This reception in Windsor brought together four distinct setup areas: a full floral arch with lounge seating, a styled dining table, and a custom welcome mirror at the entrance. Each one designed as part of the same visual story rather than four separate decor decisions made independently.
Here is how the K-Decor Studio Inc. team approached it, what we built in each area, and what the finished reception looked like on the day.
The client wanted a reception that felt cohesive from the moment guests walked through the door to the moment they sat down at their tables. Not a backdrop with some chairs in front of it and a separate table setup that happened to be in the same room. A room where every element felt like it belonged to the same occasion.
The colour palette was mauve, dusty purple, lilac, burgundy and white. A moody, romantic combination that is more unusual than the blush and ivory setups we see most often, and significantly harder to execute well. The deeper tones need careful balance across all four setup areas or the room starts to feel heavy rather than dramatic.
Faiqa mapped the room layout before anything was confirmed. The arch and lounge seating as the visual anchor. The dining tables in the main room. The welcome mirror at the entrance as the first thing guests see. Each element positioned to create a clear journey through the space from arrival to seating.
The floral arch is the element that sets the tone for the entire reception. Get the colour distribution wrong on an arch this size and the whole palette feels unresolved from across the room.
The arch for this Windsor reception is a full square frame dressed from top to base on both columns with mauve, dusty purple, lilac, light pink, burgundy and white peonies, garden roses and ranunculus with dark green foliage throughout. The colour transitions deliberately from deeper burgundy and purple at the top panel down to lighter lilac and white toward the base of each column. This gradient approach is what stops the arch from reading as a flat block of colour. Darker tones at the top create visual weight where the eye naturally starts. Lighter tones at the base keep the setup from feeling heavy at floor level.
The white ruched fabric draping backdrop behind the arch uses a cross-swag technique at the top where two draping panels gather at the centre point and fall outward in opposite directions. This creates a V-shaped frame above the arch that draws the eye downward toward the lounge seating below. The backdrop pools on the floor on both sides with warm uplighting positioned behind it at the base, which creates a soft amber glow that photographs particularly well in a room with white walls and recessed ceiling downlights.
The lounge seating setup sits directly in front of the arch and operates as the sweetheart area for this reception. Three pieces of cream velvet furniture: a loveseat centred under the arch with a white sequin throw draped across it, and two matching accent chairs positioned either side with gold hairpin legs.
The furniture choice was deliberate. Cream velvet in a room with a deep mauve and burgundy palette does two things simultaneously. It stops the seating area from being swallowed by the richness of the arch above it. And it gives the couple a neutral, elegant anchor point that photographs clearly against both the floral colours behind and the darker tones throughout the room.
The two acrylic pedestal stands positioned either side of the loveseat carry gold urn vases with mauve, dusty purple and white floral arrangements built at two different heights. The taller arrangement sits to the left, the shorter to the right. This asymmetry is intentional. It creates a subtle diagonal line across the lounge area that adds movement without disrupting the symmetry of the arch above.
A grey and white Persian style area rug sits underneath the entire lounge setup, defining the boundary of the seating moment within the larger reception space and softening the dark wood flooring beneath.
The dining table setup needed to carry the same palette as the arch and lounge area without reproducing it. A dining table full of mauve and purple florals in a room that already has a large mauve arch would make the whole reception feel repetitive. The table needed to reference the palette without duplicating it.
The solution was to take the darkest tone from the arch, the burgundy, and use it as the primary accent on the table. Burgundy folded napkins on gold charger plates at every setting. A simple white tablecloth as the base. Gold Chiavari chairs with black cushion pads around the full table perimeter.
The centrepiece is deliberately understated compared to the arch. A small cluster of white candles grouped at the centre with a single compact white floral arrangement. In a reception room where the arch is the visual hero, a competing centrepiece on every table fights for attention rather than supporting the overall room story.
Two large dark brown geometric lattice wall art panels behind the table add a modern structural element to that section of the room without introducing any new colour. They frame the table from behind and give the dining area its own visual identity within the larger reception space.
The welcome mirror at the reception entrance is the first piece of decor every guest interacts with before they enter the room. An arch-top gold frame mirror with custom gold lettering, the couple’s names, a welcome message, and a meaningful quote, positioned on a rose gold sequin draped table with blush and mauve floral arrangements at the base.
It does something a backdrop or arch cannot. It gives guests a moment to pause, read, and photograph before the reception even begins. That pause is valuable. It builds anticipation for what is inside the room.
What made this entire Windsor reception work as a cohesive setup was the colour discipline across all four areas. The mauve and burgundy palette appeared in the arch florals, the dining table napkins, the pedestal arrangements, and the welcome mirror florals. Never in exactly the same way twice. Same story, told four different ways across the room.
